The Mount Street Club Trust is committed to protecting and respecting your privacy.

This policy helps to explain when and why we collect personal information about you, how we use it, the conditions under which we may disclose it to others, how we keep it safe and secure and your rights in relation to your information.

How do we collect information about you?

We collect personal information about you when you:

  • Sign up for our newsletter 

  • Take part in an event or meeting with us (online or in person)

  • Apply for a grant from us on behalf of an organisation

  • Become a Trustee or a consultant/service provider

  • Contact us in any way, including email, phone or social media (Linkedin)

We have now enabled cookies on our website so that we can better understand how our website is being used and to assess our communications strategy.

What type of information do we collect?

The information that we collect may include:

  • Name 

  • Contact details (including email address, postal address and telephone number)

  • Details of participation in our events, meetings and other activities

  • Photographs

  • Videos

For Trustees and consultants/service providers this may also include:

  • Date of birth

  • Passport number and/or photograph of passport 

  • PSS Number

  • Education and work details 

  • Banking details


Data protection laws recognise certain categories of personal information as sensitive and therefore requiring greater protection, for example information about your health, ethnicity and religion. We do not usually collect sensitive data unless there is a clear and valid reason for doing so and data protection laws allow us to. Where appropriate, we will make it clear why we are collecting this type of information and what it will be used for.

How and why do we use your information?

We will only use your personal information when we have a lawful and legitimate reason to do so.

The ways we use your information may include:

  • Providing you with information or updates that you have asked for 

  • Sending you communications that may be of interest to you, including invitations to events, newsletters and meetings

  • Seeking your views on our activities so that we can make improvements 

  • Updating our database records and ensuring we know how you prefer to be contacted 

  • Running our events and activities

  • Keeping a record of your relationship with us 

  • Delivering our obligations under any contract between us 

  • Checking for updated contact details against third party sources (e.g. Linkedin) so we can stay in touch if you move

How do we keep your information safe?

Any information which you choose to provide to us is only used by Mount Street Club Trust and our consultants/service providers, in line with the purposes for which you provided it or for any reasonably incidental purpose. 

Once we receive your information, we make our best effort to ensure its security on our systems.

Electronic information: We currently use Gmail as our email provider and Google Drive to store all of our documents and electronic filing.

Hard copy information: All paper filing is carefully stored by either the Chairperson, the Treasurer, the Secretary or the Communications & Operations Coordinator. 

Consultants/service providers may store information relating to their activities for the Trust. All are provided with this policy when they are appointed and are requested to confirm that they are themselves compliant with GDPR regulations.

Newly appointed Trustees are also provided with this policy and given guidance on how to ensure the privacy and security of personal information. 

No data transmission over the internet can be guaranteed to be completely secure. So, while we strive to safeguard your information, we cannot guarantee the security of any information you provide online and you do this at your own risk.

How long do we keep your information for?

We keep your information for no longer than is necessary for the purposes for which it was collected for.

At any point you may request details of the personal information that we hold for you, and you may also request that we update or delete this data. Please see the following section about your rights under GDPR.

Your rights under GDPR

The DPC provides the following overview:

“Data protection is a fundamental right set out in Article 8 of the EU Charter of Fundamental Rights, which states;

  1. Everyone has the right to the protection of personal data concerning him or her.

  2. Such data must be processed fairly for specified purposes and on the basis of the consent of the person concerned, or some other legitimate basis laid down by law. Everyone has the right of access to data which has been collected concerning him or her, and the right to have it rectified.

  3. Compliance with these rules shall be subject to control by an independent authority.

This means that every individual is entitled to have their personal information protected, used in a fair and legal way, and made available to them when they ask for a copy. If an individual feels that their personal information is wrong, they are entitled to ask for that information to be corrected.”

We will endeavour to respond fully to all requests within one month of receipt of your request, however if we are unable to do so we will contact you with reasons for the delay.

Changes to this policy

Any changes that we may make to this policy in the future will be updated on our website. If we make any significant changes we will make this clear on our website.
